Souls Harbour is Hiring!


Are you a stickler for rules?  Do you love it when your pencils are perfectly aligned, with all the erasers facing the same way?  Do you type 60 words a minute on a slow day?  Are you a whiz with spreadsheets or databases?  Do you enjoy serving in the background?

If you find yourself nodding in agreement, then you may be right for our brand new Data Care Specialist role!

As a Data Care Specialist, you’re part of the Souls Harbour Rescue Mission development team. Working under the leadership of the Chief Development Officer and using the Silent Partner CRM, you will ensure donations are processed with perfection!  You will also receive donations through phone calls, e-transfers, and in person.  

You’ll be part of a new and vibrant team that is set to help Souls Harbour continue to grow and transform its communities, whether it be in Halifax, Bridgewater, Truro, the Eastern Shore, Cape Breton or beyond!

Souls Harbour is a federally registered charity in Nova Scotia.  We are 12 years old and seek to rescue people from poverty, addiction and despair, by offering emergency help, such as food, clothing and shelter, life changing recovery programs, and a Message of Hope.  As data care specialist, you will be part of that message, and will work with us to carry out our core values of evangelism, discipleship, charity and expansion.  

We have drop in centres that provide free meals and clothing in Halifax, BridgWater and Truro.  Halifax also has our Life Recovery Shelter - a hybrid shelter/recovery home.  On the Eastern Shore we have a Womens Home for women and children who need safe, shared, supportive and affordable housing.  There, we are also building a 12-unit apartment building for women and children.  We have recently expanded to Sydney, Cape Breton, where we will be opening a drop in centre, but until the renos are finished, we’ll be serving meals from a food truck! 

Souls Harbour also has two social enterprises: Mission Mart thrift store and Signature Swag, a promotional products company.  These businesses provide funding, but also opportunity for training and life skills for our residents, guests, and adults with disabilities.

Job Description


Job Title: Data Entry Clerk

Organizational Relationships & Supervision:


Location of Position:  5571 Cunard St

Reports to: Chief Development Officer (CDO)

Possible Interactions: CAO, CEO, EA

      Authority: To handle all incoming finances, to make bank deposits


            Non-Negotiable Requirements:


  • Must be willing to abide by the doctrinal and mission statement of SHRM.

  • Must hold to the constitution and by-laws of SHRM.

  • Must have vehicle access.

  • Must be bondable - criminal record check required.

     Qualifications:


  • Organized and detail-oriented

  • Able to prioritize and systemize

  • Confident with numbers

  • Able to enter data with attention to detail and high levels of accuracy.

  • Minimum typing speed of 60 WPM.

  • Able to work with sensitive or confidential information and data.

  • Possess excellent oral, written & telephone communication skills.

  • Effectively communicate, comprehend instructions and follow directives.

  • Be proficient in the use of standard office equipment.

  • Have a command of Microsoft Office or Google applications, especially Word and Excel.

  • Willingness to learn and implement our principles of development.

  • Some post-secondary education or experience in a similar field 

  • Understanding of CFRE principles helpful


               Expected Results:

Objectives:


  1. Keep the database up to date, with a high level of accuracy.  

  2. Same day receipting of all donations

  3. Stewardship and respect of all donors and gifts of all sizes.



Specific Duties:


  • Morning Mail, Mission Mart & Bank Run.

  • Open mail with someone present.

  • Batch checks with another person.

  • Process daily mail donations and bank deposits.  Aim for same day and daily receipting (3 days at most during busy season) 

  • Manage the Adopt-A-Plate monthly giving program.

  • Issue annual Adopt-A-Plate income tax receipts

  • Reconcile online and volunteer records with Silent Partner

  • Communicate with donors on the phone as needed

  • Create donor reports as requested by the CDO, CAO, or CEO.

  • Answer phones/messages/transfer calls

  • Oversee office volunteers and related work groups.

  • Assist in all donor events.

  • Other duties as assigned by the CDO.


            Remuneration & Benefits:

    Hours: Office hours: 9:00 AM to 5:00 PM Mon – Fri (could be 8-4)

  Full time: 40 hours per week, Mon - Fri

Some shifts may be switched to cover holidays, vacations, off-hour events.

                            Salary: 40-50K (depending on experience)
